Your AI Team: Build a Lean, Coordinated Dream Team
Most people approach AI like a buffet. They pile their plate with tools, ChatGPT for this, Perplexity for that, Canva AI for something else, and then wonder why they feel more overwhelmed than before. The problem isn't the tools. It's the absence of a structure that tells each tool what it's for.
This week we introduced a different mental model: your AI Team. Not a collection of apps. A coordinated team of specialists, each with a defined role, a clear brief, and a specific set of responsibilities. You're the manager. They're your team. And like any good team, the magic happens in the handoffs.
The Problem with the Buffet Approach
There are now thousands of AI tools. New ones launch every week. And the instinct, especially for curious, ambitious people, is to try them all. To stay on top of every development. To not miss the next thing.
But tool proliferation without structure creates a new kind of overwhelm. You end up with fifteen tabs open, three different AI conversations running, and no clear sense of which tool is doing what job. The cognitive load of managing your AI stack becomes its own problem.
The AI Team model solves this by forcing a different question. Not "what tools should I use?" but "what roles do I need filled?" Once you know the roles, the tools become obvious. And once the roles are clear, you can write briefs, system prompts that tell each team member exactly what they're there to do.
"The goal isn't to use every AI tool. It's to build a lean, coordinated team where each member has a clear role, and they hand off to each other seamlessly."
Six AI Specialists You Can Hire Today
These are the six core roles we mapped in the session. Most people need two or three to start. The question isn't which ones exist, it's which ones would have the biggest impact on your specific work right now.
The Copywriter
Emails, proposals, social posts, website copy. Give it your voice and it writes like you, at scale.
The Researcher
Deep research, competitor analysis, industry trends. Gets you briefed in minutes, not hours.
The Analyst
Turns your data, feedback, and metrics into clear insights and recommendations.
The Designer
Creates visuals, presentations, and brand assets on demand.
The Coordinator
Schedules, organises, summarises meetings, manages your inbox. Your AI chief of staff.
The Trainer
Onboards new team members, creates SOPs, answers FAQs, trained on YOUR knowledge base.
The Team Brief: Your AI's Job Description
A system prompt is your AI team member's job description. It tells them who you are, what they're there to do, how they should communicate, and what they should never do. The more specific you are, the better they perform.
Most people skip this step. They open a new conversation, type a request, and wonder why the output doesn't quite land. The brief is what changes that. It's the difference between an AI that produces generic output and one that produces output that sounds like it came from inside your business.
In the session, we wrote team briefs live, for a Copywriter, a Researcher, and a Coordinator. The transformation was immediate. The same prompt, with a brief, produced output that people actually wanted to use. Without a brief, it was fine. With a brief, it was theirs.
The Handoff: Where the Magic Actually Happens
A team isn't just a collection of individuals. It's a system of handoffs. The Researcher finds the information. The Analyst makes sense of it. The Copywriter turns it into something worth reading. The Designer makes it worth looking at. Each output becomes the next person's input.
This is where AI teams start to feel genuinely powerful. Not because any single tool is remarkable, but because the chain of handoffs produces something none of them could produce alone. A piece of research becomes a client report becomes a LinkedIn post becomes a slide deck. One input, four outputs, in the time it used to take to write one email.
The homework this week was to map one handoff, to connect two AI tools so the output of one becomes the input of the other. It sounds small. It's not. That one handoff is the seed of your AI operating system.
What the Room Taught Me This Week
The moment that landed hardest wasn't a framework. It was a question someone asked near the end of the session: "How do I know which three roles to start with?"
The answer is simpler than people expect: start with the role that would give you the most time back. Not the most impressive one. Not the one that sounds most strategic. The one that, if it existed tomorrow, would make your week materially easier. For most people in the room, that was the Copywriter, the thing that would get the words out of their head and into the world without the friction of a blank page.
Someone else said their biggest bottleneck was research, they spend hours finding information that should take minutes. For them, the Researcher was the obvious first hire. Someone else needed the Coordinator, they were drowning in meeting notes and follow-ups that never quite happened.
The AI Team model works because it's personal. It's not a generic stack. It's your stack, built around your specific constraints, your specific strengths, your specific version of overwhelm. That's what makes it stick.
Start Where You Are. But Don't Stay There.
The tagline for this session was "Start where you are. But don't stay there." It's a reminder that the goal isn't perfection, it's momentum. You don't need to build your entire AI team this week. You need to activate one role, write one brief, and run one handoff.
That's enough to feel the shift. And once you feel it, once you experience what it's like to have a Researcher who never sleeps, or a Copywriter who knows your voice better than most colleagues, you won't want to go back.
The AI era doesn't belong to the people with the most tools. It belongs to the people with the clearest teams.
