Why Are There So Many Different Document Types?

They're not trying to do the same job. Think of them as different stages in the life of an idea.

If you've ever wondered why we have Word, Google Docs, PDFs, Canva, websites and now Markdown, you're not alone.

Each one exists for a reason. Each one is a different stage in the life of an idea.

๐Ÿง

Markdown (.md)

Purpose: Capture ideas

Markdown is one of the simplest ways to write. It focuses almost entirely on the words themselves instead of worrying about fonts, colours or page layouts. That's one of the reasons AI loves it. Think of it as the notebook where your ideas are born.

๐Ÿ“

Microsoft Word (.docx)

Purpose: Write and edit

Word is like sitting around a conference table with your team. You can comment, track changes, insert images, tweak fonts, move things around and polish a document until it's ready. It's built for editing.

โ˜๏ธ

Google Docs

Purpose: Collaborate

Google Docs does much of what Word does, but lives online. Its real superpower isn't writing, it's collaboration. Five people can edit the same document at once. Comments happen in real time. Nothing needs emailing back and forth. If Word is a desktop office, Google Docs is a shared workspace.

๐Ÿ“Š

Google Sheets & Microsoft Excel

Purpose: Organise and calculate

These aren't really documents. They're giant thinking tools. Budgets. Forecasts. Customer lists. Data analysis. AI is becoming incredibly good at helping analyse spreadsheets because they're already structured.

๐ŸŽจ

Canva

Purpose: Make things beautiful

Canva isn't where most ideas begin. It's where they become visual. Social posts. Presentations. Infographics. Workbooks. Books. Pitch decks. The words usually come first. Canva helps people experience them.

๐ŸŒ

HTML

Purpose: Put ideas on the internet

Every website is built using HTML. Instead of saying 'Make this heading 24 point blue,' HTML simply says 'This is a heading.' The browser handles the rest.

๐Ÿ“•

PDF

Purpose: Freeze the final version

A PDF is designed to look exactly the same for everyone. Great for contracts, resumes, reports, books, and brochures. Not so great if you want to edit it later.

๐Ÿ“ฑ

PowerPoint & Google Slides

Purpose: Tell a story visually

Slides aren't documents. They're conversations. Each slide should communicate one idea. They're designed to support someone speaking rather than replace them.

๐Ÿ—‚๏ธ

Notion

Purpose: Organise knowledge

Think of Notion as your second brain. Instead of individual documents, it connects everything together. Meeting notes. Projects. Tasks. Research. Wikis. Databases. It's less like a filing cabinet and more like a living knowledge system.

AI Chats

Purpose: Think with you

This is the newest category. When you chat with AI, you're not really creating a document. You're having a conversation that can generate almost any document. One conversation might become an email, a spreadsheet, a presentation, a book chapter, a website, a strategy, or computer code. The conversation becomes the workspace.

The Hidden Workflow

The Workflow Most People
Don't See

Ideas rarely stay in one place. A typical journey today might look like this:

๐Ÿ’ก Idea

Markdown or Google Docs

AI helps refine it

Word for formal editing

Canva for visuals

PowerPoint for presenting

HTML for publishing online

PDF for sharing

Social media for distribution

Same idea. Different formats. Different audiences.

The Big Shift

The Big Shift
AI Is Creating

For decades, we've chosen software first.

"Should I open Word?"

"Should I make a PowerPoint?"

"Should I use Canva?"

AI is quietly flipping that question.

Increasingly, you'll start with the idea. Then AI will help you transform it into whatever format you need.

One thought. Many outputs.

That's why file formats suddenly matter again.

Not because they're new. But because AI can now translate between them almost effortlessly.

The advantage now belongs to people who understand what each tool is actually for, and know when to use which one.
